Why Does ClayHR Allow Overlapping Leave Requests?

ClayHR allows overlapping leave requests because, in real-world workforce administration, two requests covering the same date are not always duplicates or errors. A date may be associated with more than one valid entitlement, work arrangement, or provisional plan. Blocking every overlap would prevent organizations from accurately handling these edge cases.

The approval workflow still gives managers and HR teams visibility into the overlap. Organizations can review the requests, apply their own policies, and cancel or adjust a request when the final circumstances are known.

Common Scenarios

1. Alternative dates for a medical procedure

An employee expects to be absent for two days but does not yet know the exact procedure date. They submit one request for Monday-Tuesday and another for Tuesday-Wednesday so both possible schedules can be approved in advance.

Once the procedure is confirmed, the employee deletes the request that is no longer needed.

2. Parental leave combined with accrued vacation

An employee submits a parental leave request for a longer absence but uses accrued vacation for the first few days, for a waiting period, or while HR confirms the official start date of the parental leave benefit.

The requests may temporarily overlap while the final allocation is reviewed and adjusted.

3. Work From Home entitlement combined with time off

Some employers administer Work From Home (WFH) as a leave policy, such as an annual allowance of 28 WFH days. If an employee is scheduled to work from home for a week but then takes sick leave or vacation on one of those days, the requests legitimately overlap.

The WFH request records the employee's work-location entitlement, while the leave request records that the employee did not work that day.

Key Point

An overlap does not necessarily mean that the employee is attempting to take the same time off twice. It may represent uncertainty, a transition between benefit types, or the use of a non-absence policy such as WFH.
